FAQ : Medical Document Scanning

  • Yes, hard copy medical records can be scanned into a digital image format for use in EMR Systems

  • Yes, ARC scanning facilities are HIPAA compliant and can handle and scan documents containing PHI (Protected Health Information) and PII (Personally Identifiable Information). Learn more about HIPAA compliance

  • EMR is a common term for Electronic Medical records. Nearly all medical information generated today is generated and stored electronically, as part of the Medical Record for a patient. However, there are large quantities of older medical records that were created on paper. As long as the patient is still living, these older records are required to be maintained and must be associated with the patient to whom they belong. It has become common practice that the hard copy record should be scanned to convert it into a digital file, which can be stored digitally and associated with the patient alongside the patient’s current digital medical record.

  • Bringing your medical records to ARC for scanning is easy. We have the systems, technology, processes and facilities to securely scan all medical records while remaining compliant with HIPAA regulations to protect the security, privacy and integrity of the medical record

  • The Federal Government Health and Human Services, has mandated by federal law, that a person’s health information is to remain entirely confidential between the medical practitioner and the patient only. PHI (Protected Health Information) must be kept protected, and never be allowed to be disclosed to anyone else without the consent of the patient. Therefore, the handling of PHI (or ePHI, once scanned) must be protected at all times to prevent the unauthorized disclosure to anyone whether accidental or maliciously released. The practices, technology and facilities used by ARC meet/exceed the mandates as established by HHS

  • Electronic Medical Record and Electronic Health Record are two different terms for essentially the same meaning

  • ARC has the capability to scan all forms of paper medical records, as well as paper “EKG” type strips as well as X-Ray films
